The Problem

Training Is Done. Proving It Is the Hard Part.

Study teams do train. What fails at inspection is the evidence: which version a person read, whether they understood it and whether they were qualified for the task.

Distribution

Documents Go Out, Records Do Not Come Back

Protocols and SOPs are emailed to sites and acknowledged in replies, sign-in sheets and scanned PDFs. Proof of who was trained on what is rebuilt by hand.

Amendments

Re-Training Lags the Change

An amendment is approved, but retraining assignments go out later and completion is chased by email. In the gap, staff can work to a superseded version.

Inspection

Training Gaps Are a Standard Finding

The training happened; the record did not hold. Inspectors ask which version a person read, what they understood and whether they were qualified for delegated tasks.

The Solution

Qualification as a Record, Not a Reconstruction.

Clinera LMS publishes controlled documents to the roles that need them, tests comprehension and closes each completion with a re-authenticated electronic signature.

01

Published by Role

A document reaches the PIs, coordinators, monitors and pharmacists it applies to, without a distribution list to maintain.

02

Comprehension Tested

Read progress thresholds and quiz passing scores make completion mean more than a document was opened.

03

Signed and Timestamped

Each passing attempt closes with a Part 11 e-signature and an immutable completion record.

04

Re-Trained Automatically

Publishing an amendment or a revised SOP dispatches the new assignments on its own.

How It Works

From Published Document to Signed Record.

The same four stages run for an initial protocol release and for every amendment after it.

Stage 01

Publish

A controlled document is released with the roles it applies to, and assignments fan out to everyone holding those roles.

Stage 02

Read

Trainees work through the document, with minimum read progress enforced before the assessment unlocks.

Stage 03

Assess and Sign

A quiz confirms comprehension against the passing threshold, and the trainee re-authenticates to sign the attestation.

Stage 04

Evidence

Completion lands in the training matrix, exportable for monitoring visits, audits and inspections.

Capabilities

Core LMS Features and Capabilities.

Five features cover publishing, assessment, signed attestation, amendment-driven retraining and the export that carries the evidence.

Feature 01

Role-Targeted Document Publishing

Send each controlled document to the people it actually applies to.

  • Controlled study documents - Protocols, SOPs and Investigator Brochures published under version control.
  • Automatic role fan-out - Assignments generated for principal investigators, coordinators, monitors and pharmacists based on document applicability.
  • No distribution lists - A new person taking a role inherits the assignments that role carries, rather than being added by hand.

Feature 02

Quiz Builder and Read Tracking

Make completion mean comprehension rather than a click.

  • Drag-and-drop assessments - Build the quiz alongside the document, without a course authoring tool in between.
  • Configurable passing scores - Thresholds set per document, because a protocol and a minor SOP revision do not carry the same risk.
  • Minimum read progress - A required percentage of the document must be read before the assessment becomes available.

Feature 03

21 CFR Part 11 Signed Attestations

Close every completion with a signature that stands up on its own.

  • Re-authentication at signing - The trainee confirms identity again at sign-off, so the signature is an act rather than a side effect of being logged in.
  • Immutable completion record - The passing attempt, document version and completion timestamp are written to a PKI-backed audit log.
  • Attribution that holds - Each attestation names the individual, the role they held and the version they were trained on.

Feature 04

Automated Amendment Re-Training

Close the gap between a document changing and the team being trained on the change.

  • Publish-triggered assignments - A protocol amendment or revised SOP dispatches new training assignments as it is released.
  • Version-aware records - Previous completions stay attached to the version they were signed against, and the new version carries its own record.
  • Outstanding visibility - Who has completed retraining and who has not is visible from the moment the amendment goes out.

Feature 05

Inspection-Ready Training Matrix and Export

Answer the training question in the room rather than the week after.

  • Study-wide matrix - Personnel against controlled documents, showing trained, outstanding and not applicable at a glance.
  • One-click CSV export - The full training log exported for auditors, monitors and inspectors in a format they can work with.
  • Point-in-time evidence - Records show what a person was trained on and when, against the document version in force at that date.

Use Cases

Where Teams Put Clinera LMS to Work.

Four moments where training evidence is either ready or it is not.

Faster Activation

Site Initiation

Protocol and SOP training completed and signed before activation, so the initiation visit confirms qualification instead of starting it.

Shorter Compliance Gap

Protocol Amendment Rollout

Retraining dispatches the moment the amendment publishes, with outstanding completions visible per site rather than chased by email.

No Onboarding Gap

New Staff Mid-Study

A coordinator joining in month eight inherits the assignment set for their role, including every amendment issued so far.

Evidence on Demand

Audit and Inspection

The training matrix exports on request, showing person, document, version, score and signature date without assembling folders.

Workflow

Role-Based Workflow and Benefits.

Four groups use the same record differently: one builds it, two complete it, one interrogates it.

RoleKey Capabilities in Clinera LMSKey Benefit

Quality Assurance Lead

Publish controlled documents, set passing thresholds and monitor completion across sites.

Compliance position visible continuously rather than at audit.

Principal Investigator

Complete protocol and IB training, sign attestations and see outstanding training for site staff.

Confidence that delegated staff are qualified for their tasks.

Site Coordinator

Work through assigned documents, take assessments and sign off completions.

One list of what is outstanding, instead of email threads.

Auditor / Inspector

Read the training matrix and export the full log with versions and signature dates.

Evidence produced in the room rather than compiled afterwards.

Why Clinera LMS

What Makes Clinera LMS Different.

01

Built for Controlled Documents

A general corporate LMS tracks courses. Clinera LMS tracks document versions, which is what an inspector asks about.

02

Amendments Drive Themselves

Retraining is triggered by publication rather than by someone remembering to assign it. That gap is where compliance risk lives.

03

Beside the Study Record

Because it sits on the Clinera platform, training records live next to the delegation log and monitoring visits.

FAQ

Frequently Asked Questions.

Does Every Amendment Mean Retraining Everyone on the Study?+

No. Assignments follow roles, so a change affecting pharmacy handling reaches pharmacists rather than the whole team, and a change affecting eligibility reaches investigators and coordinators. Scoping matters commercially as well as administratively: amendment training is the step that holds sites up.

Our Coordinators Already Hold GCP Training From Other Sponsors. Do They Have to Repeat It?+

They should not have to. Clinera LMS records external training completions against the person with the provider, completion date and expiry, so recognised GCP training can satisfy the requirement and only study-specific training is assigned.

Is Reading and Acknowledging a Document Enough, or Does Comprehension Need Testing?+

Acknowledgement alone is weak evidence, which is why the read-progress threshold and quiz work together. A passing score against a defined threshold, signed by the individual, answers inspection questions in a way a read receipt does not.

How Does This Line Up With the Delegation Log?+

The delegation log says what a person was authorised to do, and the training record says what qualified them to do it. Because assignments are driven by role, the training matrix can be read against the delegation log.

What Happens to the Record When Someone Leaves the Study?+

The signed attestation stays intact, attributed to the individual, the role they held and the document version they signed against. Inspections look backwards at whether the person who performed a task at the time was trained then.
